Farm Credit organizations have begun joining other financial services providers in shifting away from physical server storage to the secure, cloud-based document management solution from new Passkey Partner Egnyte. More than just storage, Egnyte also supports team collaboration on document development, AI search, summarization, and workflows, as well as audit-ready governance.
“Egnyte naturally resonated with regulated industries, and three years ago we verticalized our financial services focus, hiring industry experts and consulting our customers to develop specific solutions, starting with the first step of every process: document collection,” says John T. Jones, Egnyte’s Financial Services Strategist.
The loan process is supported by a customer-facing document collection portal that guides applicants through a structured upload workflow. Templated requests are sent, and the system tracks submissions and sends reminder notifications. It also provides loan officers with up-to-the-minute insight into each application’s progress. Submitted documents are automatically saved into an organized sub-folder structure within each main customer folder.
“The guided, templated requests help ensure that all the right documents are collected from the beginning, making it a better experience for customers and loan officers,” says John. “Uploading directly into our system is also more secure than emailing or faxing the same documents and eliminates double handling.”
Egnyte’s benefits go far beyond loan origination and processing: business records, client files, marketing, legal, human resources and accounting documents can all be centralized into the Egnyte cloud repository. Users can then capitalize on Egnyte’s other features:
Collaboration is supported with file sharing and real-time co-editing through native desktop integrations with Microsoft 365.
The platform’s AI capability streamlines document search, analysis, summary and data extraction. For example, organizations can configure Egnyte to flag loan packages or tax files that appear incomplete or draft a credit memo from collected documents. AI responses are defined by the user’s document access.
Centralized governance allows audit trails and anomaly detection across hybrid-cloud deployments for organizations that need to maintain physical file servers.
“Egnyte removes the manual drudgery of many administrative tasks, allowing organizations to create better client experiences and better user experience for loan officers and support staff,” says John.
Egnyte’s solution is governed by easy-to-implement policies based on user and content types. Unlike other solutions, Egnyte enables targeted access to lower-level folders without granting access to the intervening content in the folder structure. Document control extends to retention, with document types retained, archived or deleted following a client-specific schedule.
“Egnyte is easy to adopt, roll out and manage. We provide templates so clients can set policies and build a robust governance posture within a few clicks,” says John. “Adding users and content can occur without limits or disruption to the business, which is especially valuable during a merger.”
The Egnyte platform scales from a few users to thousands, and while the company offers White Glove onboarding services, the solution can be implemented over a weekend with users active on Monday. The switch can be invisible to users, who can access Egnyte via the same letter-drive access as a physical server.
